Overview: We are seeking a proactive and detail-oriented Legal Assistant to join our conveyancing team at a well-established UK law firm.
The ideal candidate will play a vital role in supporting our solicitors and conveyancers in managing property transactions, ensuring efficiency, accuracy, and compliance with legal and regulatory standards.
Key Responsibilities:
Administrative Support:
Prepare and manage correspondence, contracts, and legal documents related to property sales, purchases, and transfers.
Organise and maintain case files, ensuring all documents are up-to-date and properly filed.
Schedule appointments, meetings, and client calls, ensuring smooth communication.
Client Liaison:
Act as the first point of contact for client inquiries, providing updates on the progress of their transactions.
Request and follow up on required documentation from clients and third parties (e.g., ID verification, proof of funds).
Conveyancing Processes:
Assist in drafting and reviewing key documents, including contracts, TR1 forms, and lease agreements.
Conduct pre-completion checks and manage post-completion tasks such as filing SDLT returns and registering property with HM Land Registry.
Liaise with estate agents, mortgage lenders, and other stakeholders to ensure the timely exchange and completion of contracts.
Research and Compliance:
Perform searches with local authorities, environmental agencies, and utility providers.
Ensure compliance with anti-money laundering (AML) regulations and other legal standards.
Billing and Financial Management:
Assist in preparing invoices and managing payment schedules.
Monitor transaction ledgers and ensure timely transfer of funds between accounts.
Key Skills and Qualifications:
Strong understanding of the UK conveyancing process and associated legal documentation.
Excellent organisational skills and attention to detail.
Strong communication and interpersonal skills, with the ability to liaise professionally with clients and stakeholders.
Proficient in using legal case management systems and Microsoft Office Suite.
Knowledge of AML regulations and data protection standards.
Prior experience in a conveyancing role or legal assistant role (preferred).
Education and Experience:
A Legal Secretarial Diploma or equivalent qualification (preferred).
Previous experience in a conveyancing or property law environment.
Familiarity with HM Land Registry systems and SDLT submissions.
